NEXORA workforce management system

If this sounds like your cut-off, keep reading

The manual way isn't free. It's your team's hours, plus the cost of every error and every dispute that follows one.

Three steps, then a payslip

Employees punch in.

Face, fingerprint, card, PIN or QR on your biometric device. Every punch is photo-stamped and reaches the dashboard within seconds.

The system builds the DTR.

Punches become each employee's Daily Time Record automatically — with your grace period, your late-deduction tiers, over-break rules, overtime setting and per-employee schedules applied the same way every day.

Payroll computes the cut-off.

The Payroll tab reads the DTR and produces net pay for the 1–15 or 16–31 period — basic pay, OT, minutes-late and over-break deductions, SSS / Pag-IBIG / PhilHealth, loans, cash advances, holiday pay and adjustments. Email the payslips from your own company Gmail.

What you actually get

Stop re-encoding

Biometric punches become the DTR with no manual entry. If the connection drops, pull the missing punches from the device's memory or import its USB backup file — no duplicates.

Your rules, applied consistently

Grace period, tiered minutes-late deductions, over-break rules, overtime on or off, holiday multipliers, rounding, per-employee shifts. Change a rule with an "effective from" date so finished payroll stays untouched.

Dispute-proof records

A photo on every punch. A full audit log of who changed what and when. Newest deliberate edit wins. Print-ready A4 DTR, payroll, attendance record and summary; export to Excel or CSV.

Payslips and sign-off

Send payslips one at a time or in bulk, from your company's own Gmail. Four signatory slots, each with its own e-signature and per-cut-off approval.

Roles for a real payroll team

Admin, HR, Accounting, Checker (view-only) and OJT — each role sees only what it needs.

OJT / intern hours, handled

Track completed vs. school-required hours, with a link students check themselves. Interns aren't billed.

Runs without an IT team — one biometric device, one Windows PC, one-click start. Staff open the dashboard over office Wi-Fi, or through a secure link from anywhere. Back up one file.

Every feature, in full

NEXORA takes the punches from a biometric time-clock and turns them into a cut-off-ready payroll. Employees punch by face, fingerprint, card, PIN or QR; the punches sync to a web dashboard within seconds and become each person's Daily Time Record automatically. The system applies the company's own rules — grace period, tiered minutes-late deductions, over-break rules, overtime, holiday pay, per-employee schedules — and computes net pay per pay period, with SSS / Pag-IBIG / PhilHealth and other deductions. Payslips email from the company's own Gmail. Every punch is photo-stamped and every change is logged. HR, Accounting, a view-only Checker and OJT staff each get their own role. It runs on one Windows PC with one biometric device and starts with a single click.

1. Attendance & biometric device 14 items
  • Biometric time-clock support. Works with ZKTeco-family biometric terminals. The device is the source of every attendance record.
  • Five ways to punch. Face, fingerprint, card, password (PIN), and QR code — all on one device. Always a fallback for someone whose fingerprint won't read, and an option for anyone who prefers not to enrol biometrics.
  • Real-time sync. Every punch travels to the server over a live connection and appears on the dashboard within seconds — no manual sync step.
  • Server-side auto-save. The server records punches even when no dashboard or browser is open. Only the PC needs to stay on.
  • Punch photo. Every punch is saved with a photo of the person, visible next to the time in the Attendance Log. Ends "that wasn't me" disputes.
  • Live Device Monitor. Device status counters, the live punch feed with a calendar filter, a log of device-side admin actions, a monthly matrix per employee, and a dump of everyone registered on the device.
  • Load from Device. Pulls logs stored in the device's own memory — used to recover punches that didn't reach the server after a connection drop.
  • Import backup files. Reads the ALOG / SLOG text files a device exports to USB. Safe to re-run — it does not create duplicates.
  • Admin actions log. Records who enrolled or deleted a user on the device itself, for device-level accountability.
  • Multi-device pairing. Each company claims its own device by serial number; punches recorded while a device was unclaimed are backfilled once it's claimed.
  • Name and classification override. HR can correct a device name and mark each person as a regular employee or an OJT intern; the rest of the system follows that setting.
  • Device name caching. Names and departments are saved automatically, so a device failure or swap doesn't lose anyone's identity.
  • Duplicate-punch handling. A device double-tap within the same minute is de-duplicated on import.
2. Daily Time Record (DTR) 15 items
  • Automatic DTR. Biometric punches become each employee's Daily Time Record with no re-encoding — shift in/out, time in/out, overtime, work hours, minutes late, late deduction, plus break columns when break rules are on.
  • General shift plus per-employee schedules. One default shift for everyone, with an override for anyone on a different schedule.
  • Grace period. A configurable number of "late but not counted" minutes. Can be turned off.
  • Tiered late deduction. Configurable tiers convert minutes late into a deduction (e.g. 6–10 min = 30 min deducted, 11–29 = 60 min, 30-plus or no time-in = half day).
  • Lunch-break window. A configurable lunch start and end time, used as the basis for the allowed break length.
  • Over-break rules (two switches). One for employees (pay deduction), one for OJT (hours deduction). No grace, computed independently from morning lateness.
  • "Effective from" date. New rules apply only from a chosen date forward — finished payroll is never disturbed.
  • Time rounding. Round times to the nearest configurable number of minutes.
  • Automatic overtime (switch). When on, overtime is time worked past shift-out; when off, overtime is entered manually.
  • Configurable credited hours. Set how many hours a Half Day / No Out day is worth (default 4) and a Service / Emergency day (default 8).
  • Per-day exempt from late / break rules. HR or Admin can right-click a day and waive its late or break deduction, with the waiver on record.
  • 12 day statuses. Present, Absent, Half Day, No Out, Leave, Service, Emergency Whole Day, Rest Day, Restday Duty, Holiday Legal, Holiday Special, Suspended — set by right-click, with "Reset to original."
  • Half Day zeroing. A Half Day status zeroes its late and break columns, so pay is never docked twice.
  • Manual-edit protection. Every deliberate edit is timestamped, and the newest deliberate edit always wins on sync.
  • Per-employee rest day. Set on the rate/OJT sheet and marked on the DTR automatically; an HR hand-edited day is left alone.
3. Company policy rules 11 settings
  • Grace period (minutes) and grace on/off
  • Late-deduction tiers (default 30 / 60 / 240 minutes)
  • Failure-to-clock-in penalty (default 240 minutes = half day)
  • Half Day / No Out credited hours (default 4)
  • Service / Emergency credited hours (default 8)
  • Holiday Legal premium multiplier (default 1.0 → double pay for a worked legal holiday)
  • Holiday Special premium multiplier (default 0.3 → 130% pay for a worked special holiday)
  • Perfect Attendance bonus amount (default ₱1,000; 0 turns it off)
  • Break rules on/off
  • Default shift and lunch window (default 08:00–17:00, lunch 12:00–13:00), with per-employee overrides
  • Trash retention period (default 30 days)

Changing a rule does not change past months when an "effective from" date is set.

4. Payroll 14 items
  • Cut-off based. Two pay periods a month (1–15, 16–31); each month is a separate record.
  • Everything comes from the DTR. No manual re-encoding — whatever is in the DTR is what gets paid.
  • Full payroll table. Basic salary, designation, present days, absent/leave, total hours, basic pay, OT minutes and pay, minutes late and late deduction, over-break minutes and deduction, SSS, Pag-IBIG, PhilHealth, loan, cash advance, other deduction, total deduction, holiday pay, additional pay, and net pay.
  • Basic pay. Daily rate × present days, scoped to the selected cut-off.
  • Overtime pay. OT minutes × a per-minute rate; the OT box is editable for approval-based overtime.
  • Hours adjustment pay. Manually added hours are paid at the regular hourly rate, shown in their own column — not as overtime.
  • Late and over-break deductions. Tiered, per day, summed across the cut-off, shown in separate columns.
  • Government contributions. SSS, Pag-IBIG and PhilHealth fields per employee, editable.
  • Manual deductions. Loan, cash advance, and a free "other deduction" field.
  • Holiday pay. Legal vs. special holidays, each with its own premium multiplier, on top of the present-day credit.
  • Perfect Attendance bonus. Added automatically to the 16–31 payslip when the whole month had no late, no early-out, and no absence.
  • Additional pay. A manual peso field, plus incentives / commission / manual perfect attendance / salary adjustment from the Adjustments modal.
  • Rate-sheet lock and auto-match. Freeze cells while finalizing payroll; upload an .xlsx rate sheet and matching rows auto-fill.
  • Checker view. The Checker role sees the whole payroll but every cell is locked.
5. Payslips & signatures 6 items
  • Email payslips from the company's own Gmail. Credentials never reach the browser.
  • Payslip plus supporting record. Send with the DTR or Employee Attendance Record attached.
  • Single or bulk send. A picker with checkboxes and Select All.
  • Company logo on the payslip. Uploaded once, appears on the payslip email header.
  • Four signatory slots. Each signatory fills in their own name, position and signature image.
  • Approve / undo approval per cut-off. Stored per cut-off, with a clear record of who approved what and when.
6. OJT / intern management 7 items
  • Dedicated OJT tab. Per intern: user ID, name, school / program, required hours, coordinator, contact number, Gmail, plus completed hours computed live.
  • Completed vs. required hours, shown side by side with no manual tally.
  • Public self-service page. A no-login, token-based link where each intern sees their own hours and DTR.
  • Intern-editable fields. The intern can set their own required hours and full name.
  • QR code and copy link. Easy to hand out to a whole batch of interns.
  • OJT break rules in hours, not pesos. Interns never get a peso late or break deduction.
  • No payroll for OJT. Interns are attendance-only.
7. Roles 8 items
  • Real signup and login. Each company creates its own account and first admin; session-token based.
  • 16-hour sessions. An expired session can no longer save.
  • Five built-in roles. Admin, HR, Accounting, Checker (view-only), OJT — each scoped to what it needs.
  • Custom roles. A company-specific title mapped to one of the five permission tiers.
  • Per-company data isolation. Resolved from the session, not from anything the browser sends.
  • Tab and employee filtering per role.
  • Manage Staff & Roles. Create accounts individually or in batches, assign roles, reset passwords, assign signatory slots.
  • Self password change and admin password reset.
8. Records & history 7 items
  • Save All. Save the current cut-off and month to Records as a frozen snapshot, including all manual edits.
  • One snapshot per cut-off. Reloading or syncing updates the same entry instead of duplicating it.
  • Lock a record. Freeze it against a full overwrite, while new raw device punches still flow into untouched days.
  • Roster-mismatch guard. Refuses to merge a mismatched employee set into a locked entry.
  • Get Latest Time In/Out. Pull the newest device punches on demand, without overwriting HR reclassifications.
  • Trash / soft-delete. A "days left" countdown and Restore button before permanent purge.
  • Shared live state. Every account in the company sees the same live data with a 5-second auto-refresh.
9. Reports & export 6 items
  • Print-to-PDF (A4). Employee Attendance Record, Daily Time Record, Payroll, and Summary & Remarks, each with company name and logo.
  • Download All. Generate all four PDFs in one click.
  • Payslip PDF. Print-ready, optionally combined with the DTR or Attendance Record.
  • Attendance Log — flat "Log" view. One row per punch, newest first, with photo.
  • Attendance Log — calendar grid. Monthly grid per employee, colour-coded by status.
  • Charts. A daily-events line graph, metric cards, and status-composition strips on the Overview.
10. Dashboard views & audit 8 tabs
  • Overview — present / absent / late counts, the daily-events chart, and the Attendance Log for a chosen day.
  • Performance — employee rankings by a score out of 100, for bonuses or coaching.
  • Attendance Log — calendar grid and flat log, with right-click day-status edits.
  • Daily Time Record — the full DTR table.
  • OJT Management — intern hours and info.
  • Payroll — the full payroll table.
  • Summary & Remarks — a per-employee cut-off summary, searchable by name or remark.
  • Audit Log — a printable record of every status change, exemption, adjustment and approval, with who and when.
11. Setup & access 7 items
  • One-click start. A single double-click starts the system and opens the dashboard — no IT team required.
  • Office-network access. Any computer or phone on the same Wi-Fi can open the dashboard.
  • Secure remote access. Reachable over the internet through a secure (HTTPS) link on the company's own domain.
  • Works at any address. Adapts to whatever URL or IP it's opened at, with nothing to edit.
  • Installable app (PWA). Desktop or phone icon, cached data when the network drops.
  • Dark / light theme.
  • One-file backup. The entire database is a single file you copy.
12. Security & data handling 11 items
  • Sensitive-data treatment. Biometric templates handled as sensitive personal information under the Data Privacy Act (RA 10173); each company onboarded under a Data Processing Agreement.
  • Server-side session authentication on every data endpoint.
  • Per-company scoping on every query.
  • Hashed passwords (bcrypt) — never stored in plain text.
  • Admin-only gates on staff creation, role configuration, signatory configuration and company deletion.
  • Session-expiry write guard.
  • Newest-edit-wins merge across multiple users and devices.
  • Audit trail of payroll, policy, approval and day-status changes.
  • Encrypted email tokens at rest.
  • Daily database backup, plus a one-file manual backup on demand.
  • Non-biometric option — card, PIN or QR instead of a fingerprint or face.

Not claimed: security certifications, penetration testing, or redundant/enterprise hosting. What's in place is listed above; roadmap items are disclosed on request.

13. Subscription & billing 7 items
  • Monthly subscription, priced by seats. A billable seat is a regular employee; OJT / interns are free.
  • Plan tiers by seat count: Starter (up to 15), Growth (up to 50), Business (up to 150), Enterprise (custom).
  • Month to month, no lock-in.
  • Activation-code redemption. On payment, the company receives an activation code that sets the plan and seat limit.
  • Freeze, never delete. A lapsed subscription is frozen, not erased; export stays available.
  • Seat-limit enforcement, with an upgrade prompt when a plan's limit is reached.
  • Billing visibility. Plan, seat usage and next due date shown in Settings → Subscription.

Biometric data and payroll — handled as sensitive data

Biometric templates are sensitive personal information under the Data Privacy Act (RA 10173), and NEXORA is built to treat them that way.

We don't claim security certifications or penetration testing. We tell you exactly what is in place, and we're candid about what's on the roadmap.

Priced by seats. OJT is free.

Who it's for

A good fit

  • Manufacturing / fabrication / packaging / food processing, roughly 15–150 employees
  • Hourly or daily-rate workers, fixed shifts, overtime common
  • You already have (or are buying) a ZKTeco-family biometric device
  • You're doing payroll in Excel and checking DTRs by hand

Probably not yet

  • Fewer than ~15 employees
  • A purely mobile or field workforce with no fixed clock-in point
  • You need one vendor to own your Labor Code and BIR compliance

FAQ

Do we need to buy a new device?

No. When you subscribe, a ZKTeco-family biometric device comes included together with the payroll system — no separate purchase needed. Already have a compatible device? We can pair that one instead during setup.

Do employees have to use a fingerprint or face?

No. Card, PIN, password and QR all work, so there's always a fallback — and an option for anyone who prefers not to enrol biometrics.

Does it need internet?

Yes, an internet connection is needed for the system to run.

Can our accountant still use their own tools?

Yes. You can export payroll and attendance to Excel, CSV, or PDF, and every cut-off can be saved as a locked snapshot.

Are the late and over-break deductions compliant with DOLE?

NEXORA applies the rule you configure, on a "no work, no pay" basis — it doesn't impose one. You remain responsible for Labor Code and DOLE compliance, and we'd recommend your own HR or legal review of the settings. The output is an estimate, not payroll or legal advice.

What happens to our data if we stop paying?

The account is frozen — read-only, with a renewal prompt. Your data is not deleted, and you can export it. Deletion only happens after a clearly notified retention window if you cancel.

How long does setup take?

It depends on device pairing, importing your rate sheet, configuring your rules, and training HR — we'll walk you through a realistic timeline during the demo.

Can we run more than one company on it?

Yes. Each entity's data is separate, under one login you manage.

Is there a contract?

Month to month, no lock-in. We sign a Data Processing Agreement covering how your employees' data is handled.

Who is behind it?

MRAG Software Solutions — a Philippine software company. NEXORA has been in production use since 2026.

See it run on your own payroll

We're onboarding a small number of manufacturing partners. In a 20-minute call we'll show you a punch become a payslip, ask about your shift and cut-off rules, and — if it's a fit — set up a two-week pilot on your real data.
